Case Study: Replacing an Ageing QNAP NAS While Preserving Dental Sterilisation Records

A dental practice needed to replace an ageing QNAP NAS without breaking the older FTP workflow used by its MELAG sterilisation equipment.

Sometimes the newest software is not the right software.

A dental practice Rabbit MSP has supported for more than seven years relied on an ageing QNAP NAS for shared files, clinical photos and records generated by its MELAG sterilisation equipment.

The NAS needed replacing, but there was a catch. The MELAG units still depended on an older FTP workflow, and previous testing had shown that newer QTS releases could interfere with that process.

The job was therefore not simply “replace old NAS with new NAS”. We had to modernise the storage without breaking a system the practice still relied on every day.

The challenge

The existing QNAP handled several jobs, including shared business files, clinical photographs and long-term sterilisation records.

Those MELAG records were especially important to the practice, so losing the workflow during an upgrade was not acceptable.

The replacement needed to:

  • accept the existing QNAP migration
  • preserve shares, permissions and historical data
  • remain compatible with the MELAG FTP process
  • run a QTS release we could still support securely
  • minimise disruption to the practice

That meant model selection and software-version planning had to happen before the hardware was changed.

Choosing the replacement carefully

We researched suitable QNAP models and selected one that could support the existing storage migration while still running the QTS release required for the MELAG equipment.

Before touching the old NAS, we also completed an additional backup of the practice’s data. That gave us another recovery point if the migration behaved differently from expected.

The existing drives were then transferred using QNAP’s supported migration process.

Once the replacement NAS was online, we checked storage health, file shares, permissions, network settings and the MELAG transfer process before treating the job as complete.

Getting the MELAG equipment talking again

After migration, we tested FTP directly from the sterilisation equipment and worked through the remaining compatibility and configuration issues.

The NAS was updated to the newest QTS release we had already confirmed would continue working with the MELAG units.

That gave the practice a newer and supportable storage platform without introducing an operating-system change that broke record collection.

Replacing the ageing drives without another migration

The NAS enclosure was not the only ageing part of the system. The existing hard drives were also approaching the point where replacing them made sense.

Rather than move the data again, we replaced the NAS-grade drives one at a time and allowed the RAID array to rebuild fully after each change.

This kept the system available while progressively replacing the older storage.

Adding an offsite copy of the critical records

A newer NAS and new drives improved local reliability, but they would still be in the same building if the practice experienced theft, fire or another site-wide incident.

Rabbit MSP therefore added an offsite backup of the MELAG sterilisation logs to the client’s Google Workspace storage.

The QNAP remains the working destination for the MELAG equipment, while the cloud copy provides another recovery path for those historical records.

The outcome

The practice now has:

  • a newer QNAP NAS
  • refreshed NAS-grade hard drives
  • continued MELAG sterilisation-log collection
  • preserved historical files and permissions
  • an offsite copy of the critical MELAG records
  • a QTS release selected specifically around the equipment it must support

Most importantly, the replacement happened as a planned job rather than after the old NAS failed.

Because we already knew the practice and its unusual MELAG compatibility requirement, we could plan around it before changing anything. That is often the difference between a straightforward upgrade and discovering after the fact that an older piece of specialist equipment no longer works.
